1. Can you have multiple hosts in the same meeting?

You have the ability to add more than one host who can start and run the meeting without your presence. When creating a meeting room, you can specifically add another host by selecting from the list of registered Adobe Connect Pro hosts. Add his or her name, and change the permissions to “host”. Alternatively, you can promote another participant within a meeting to host by selecting his or her name and changing the permissions to “host”.

2. When creating a meeting room, what does it mean if someone’s status in the permissions page is “denied”?

A person whose status is “denied” means that if this individual tries to enter your meeting room, he or she will automatically be denied access.

3. Do I need to add attendees from the web interface?

You do not need to add people to your meeting via the “available users and groups” panel. This page can be skipped when creating a meeting room. Usually, meeting invites are sent via your email account. Anyone can enter your meeting room as a guest as long as he or she has the meeting room URL. Please include the URL in the meeting invite.

Security

1. Is data transferred during a web conference secure?

All communications between Adobe Connect servers and client systems are protected using SSL encryption. However, please note that by uploading content to Adobe Connect Pro, your data will sit on external servers. In order to adhere to university policies and Canadian privacy laws, private information, including personal phone numbers and email addresses, should not be uploaded to persistent meeting rooms. Instead, please use the “share desktop” option. Data is not stored when you share your screen.

Interface

1. Can you limit pods to make them viewable only by hosts?

A: The host and presenter view differs in that hosts have full access to buttons whereas guests with participant level permissions only see the outline and content of pods. Guests have fewer options and buttons, however, they will still see the pods. There is a “presenter area” where hosts are able to view additional pods not viewable by guests These pods include “presenter notes” and a Q&A pod where you can privately manage and answer the chat pod.

2. Can you change the colours of the web conference meeting room?

A: No, the colours are not customizable. However, the background image is customizable. In the meeting room, go to Meeting > Room Performance & Appearance > Room Background. Here you are able to customize the background image of your room.

3. Can you snap pods to a specific grid format?

There is no specific grid. You are free to arrange the pods however you like.

4. What is the recording file type?

A recording is saved in the FLV file format.

5. Can you adjust the fonts?

Fonts can be adjusted only within the whiteboard space.

Presenting

1. Can the whiteboard overlay a PowerPoint?

Yes, you can annotate on top of a PowerPoint and use the whiteboard tools to draw and type over top of a PowerPoint slide. In fact, you can annotate any document if you are sharing your screen. An Adobe Connect icon will appear in the tray at the bottom right hand corner of Windows. If you right-click this icon and select “Pause and Annotate”, a screen-shot capture will be made and you will be able to annotate the image.

2. If multiple people raise their hands, does Adobe Connect create a queue?

If multiple people raise their hands, the host will receive a pop-up notification indicating the order in which people have responded.

3. If you have multiple hosts and two of them try to share, who has primary control of the meeting?

Hosts have permission to share or stop sharing at any time regardless of which host is presenting. So, if host 1 were sharing a presentation, host 2 still has the permissions to stop this presentation and share something else. If you would rather not allow an individual unlimited control, you may consider making him or her a presenter. A presenter is only able to control the sharing of his or her own content.

4. Can participants request audio permissions?

No, participants have to wait until given permission.

5. Does having both the audiobridge and VoIP cause any feedback or issues?

No, as long as you are using an integrated audio bridge/VoIP, the software is able to remove any feedback problems.
